Archiving Information at the End of a dRofus Project

Item 01: Export Data to Excel


To continue working with your dRofus data after your contract ends, export all data to Excel:

  • Go to the Reports and Exports Module.
  • Under "Excel exports," click on the relevant built-in Excel Exports and generate your files.


Tip:

  • To include deleted rooms, use the "Rooms and Deleted Rooms" export in the 'More' section.
  • Maximize data by adding all fields from the left to the right and avoiding restrictions.
  • Save copies of all project exports for records.


 


Item 02: Export Item Documents

  • Go to the Items Module.
  • In the "Import/Export" Ribbon, select "Export Item documents."
  • Define a download location. The filenames will be in the format: `<Item Number>-<original filename>.<extension>`.



Item 03: Export Item Images

  • Go to the Items Module.
  • In the "Import/Export" Ribbon, select "Export Item images."
  • Define a download location. The filenames will be in the format: `<Item Number>-<image position>.<extension>`.



Item 04: Export IFC Segments

  • Log in to dRofus Web using your server-specific URL.
  • Go to "Model settings" > "IFC Models."
  • Select "Download" for each IFC Segment. The files will be downloaded to your default download folder.



Item 05: Generate PDF Reports

Generate PDFs to keep a record of your data:

  • Go to the Reports and Exports Module.
  • Under "PDF reports" and/or "Project reports," generate the relevant PDFs.



Tips:

  • Avoid restrictions and use all applicable inclusions to maximize data.
  • Ensure the "Room Data view filter" includes all required tabs/fields.


Item 06: Export a List of All Users

  • Go to Settings > "PROJECT AND DATABASE ADMINISTRATION" > "Project" > "Users."
  • Right-click, select "Add/remove columns," and add all fields.
  • Right-click again and select "Export to Excel."

  • Take screenshots of specific access rights for record-keeping.
  • These screenshots can guide the setup of new users in future projects.
  • Note: User access details are stored in the archived  (.dump file) database - only available for download by EA customers. 



Item 08: Screenshot Attribute Configuration Settings

For record-keeping and future project setup:

  • Take screenshots of all Attribute Configuration Settings in the dRofus Plugin in Revit and/or the Addon in ArchiCAD.
  • Note: These configurations are stored in the archived (.dump file) database - only available for download by EA customers.
